Sales Assistant


Bluetent is growing our Sales team to keep up with the advancement of our evolving marketing, products, and services for the vacation rental and travel industry. The ideal candidate for this administrative role will be a stellar communicator, a master of organization, enjoy working in a fast-paced, ever changing environment, have the ability to prioritize competing priorities and be curious and willing to learn. The Sales Assistant is an integral part of the Sales team in every facet. The person in this position reports to the Sales Manager and supports all Sales team members. Strong administrative skills, dependability, and organizational skills are key. A sense of humor and desire to have fun at work is essential.


  • Set up meetings and calls for Sales team members
  • Schedule demos
  • Data entry into NetSuite and Google Drive
  • Book meeting rooms and manage Google Calendars for all team members
  • Assist with lead generation
  • Organize conference spreadsheets
  • Coordinate with Marketing team for Act-On
  • Answer phone calls
  • Answer inquiry emails
  • Administer proposals using DocuSign
  • Send marketing materials and assets to prospects
  • Help maintain and organize sales and marketing materials and collateral
  • Schedule travel for team members
  • Help prepare and create marketing collateral kits for conferences
  • Track leads in NetSuite as they come in via digital channels – online forms, webinars, white paper downloads, etc.
  • Collaborate with internal teams, including Bluetent web developers, project managers, advertising specialists, and email account managers
  • Tackle other general administrative tasks as they arise

Skills and Qualifications

  • Excellent communication skills – both verbal and written
  • Flexible and excited about each day having new and different projects that needs to be addressed
  • Enjoy supporting team members and contributing to team goals
  • Desire to work with individual team members and anticipate their needs
  • Willingness to “jump in” and get done what needs to be done
  • Comfortable with fast changes in systems and processes
  • Ability to work autonomously while staying available to other team members
  • Able to manage multiple lead requests with ease
  • Ability to discern priorities and to ask for help when needed
  • Primary CRM responsibility is to keep lead records updated and accurate
  • Knowledgeable about Bluetent products (we will teach you!)
  • Interest in the progression of the industry and excited about continuing to learn in the ever-changing landscape
  • Experience with Netsuite, Act-On, Google Docs and Basecamp is a bonus
